How to Use
📖 Tool Introduction
The Calendar File Generator is a completely free, instant-use online tool for authoring .ics files. When teams send out meeting invitations, they usually want attendees to add the event to Outlook, Google Calendar or Apple Calendar with a single click, and .ics is exactly the open standard (RFC5545) that nearly every calendar application supports. Instead of hand-writing vCalendar text, computing UTC timestamps by hand and trial-and-erroring line endings, this tool condenses the whole process into one clean form. You simply type the event title, pick the start and end times, and optionally add a location, recurrence rule and notes. The tool then performs all escaping, timezone conversion and file assembly locally in your browser, and shows the generated plain text in a dark terminal-style preview panel on the right, together with a live byte count. Once the preview looks right, you download the result as an .ics file and double-click it to import it into any mainstream calendar app. Because every calculation happens on your own machine, your meeting details are never uploaded to any server, which makes the tool suitable even for sensitive internal scheduling. The interface is available in Simplified Chinese, Traditional Chinese and English, follows the website theme colours automatically, and works smoothly on both desktop and mobile browsers. A built-in example prefills a realistic weekly review meeting so you can see the complete workflow in a single click. The tool also validates your input in a friendly way: if the title is missing, the times are empty, or the end time is not later than the start time, it points out the exact problem instead of silently producing a broken file. Recurring events support daily, weekly and monthly frequencies with a configurable repeat count, and special characters such as commas, semicolons, backslashes and newlines inside the location or notes are escaped exactly as RFC5545 requires, so imported calendars render cleanly without broken lines. The downloaded filename is derived from your event title with illegal characters stripped, which keeps your folder tidy. No registration, no installation, no network requests - just open the page and fill in the form.
✨ Key Features
- Standards compliant: emits VCALENDAR and VEVENT per RFC5545, compatible with major calendar apps
- Automatic timezone conversion: local times are written as UTC stamps (YYYYMMDDTHHMMSSZ)
- Recurrence: daily, weekly or monthly frequency with a configurable repeat count
- Smart escaping: commas, semicolons, backslashes and newlines are escaped automatically
- Live preview: the dark preview panel updates instantly, with a live file-size readout
- Fully local: meeting details never leave your browser, for zero upload and zero storage
📝 How to Use
- Type the meeting or schedule name into the Event title field (required)
- Pick the local start and end times; the end must be later than the start
- Fill in the location, recurrence rule, repeat count and notes if needed
- Click Generate Calendar and inspect the .ics text in the right preview panel
- Click Download .ics to save the file, or copy the content for pasting elsewhere
⚠️ Notes
- Required fields: missing title or times, or an end time before the start, triggers a friendly message
- Timezone handling: times are written in UTC using your browser timezone and shown in the viewer's local zone
- Repeat count: the repeat count is limited to 1-365 to avoid overly long recurrence series
- File naming: the download name comes from the event title with illegal characters removed, capped at 40 characters
- Scope: .ics supports calendar import; it does not replace email invitations, so attendees still add the event themselves
